CLASSROOM VOLUNTEER POSITIONS
Field Trip/Yearbook Picture Coordinator
Interesting and educational field trips can be wonderful learning experiences for children. This is especially true if the trip “ties in” with what is being learned in a subject area such as science or history. (Science field trips should be coordinated with the Science Activities Coordinator.) Our field trip coordinators should work with the teacher to determine appropriate field trips for the year. A minimum of two field trips per semester are to be planned for most grade levels and should be scheduled at the beginning of each semester. In addition to these four field trips, the Field Trip Coordinator will plan one service project on the last Wednesday of the school year. NOTE: Please communicate with the teacher(s) when field trips are scheduled. This will give teachers the opportunity to adjust their homework level in consideration of the upcoming outing.
The Field Trip Coordinator is responsible for obtaining approval from the office, and providing information to the Newsletter Coordinator by the monthly deadline. He/she is also responsible to be sure pictures are taken and submitted to the Yearbook Committee. The coordinator should provide original Medical Release forms to drivers for each child riding in that vehicle. These forms may be obtained from the C.E.A. office. After each outing, a Field Trip form is to be filled out and returned to the office, along with medical release forms.
NOTE: Each parent in the class is expected to drive to at least one field trip. It will be necessary for you to schedule parent drivers at the beginning of each semester.
The office staff can assist you by providing a list of field trips from previous years and forwarding any new field trip ideas to you when they are received. An all-school field trip may be planned for the year. In this event, you may be asked to assist.
Reading Book Coordinator
C.E.A. owns a number of reading books sets which are used year after year within a grade. If an assigned reading book is not owned by C.E.A., the reading book coordinator determines if adequate copies for the students can be obtained through the public library system or upon approval from the office, purchases copies for the students. Several bookstores, mail order companies, and Internet sites provide an educational discount, and coordinators are urged to shop for the best available price. (Locally, Steve’s Sundry, Borders, and Barnes and Noble offer discounts on educational purchases.) If obtaining books from the library, each student may be asked to check out his/her own copy or the coordinator may use the teacher’s academic library card. The teacher should inform the coordinator of books needed well in advance of the start of a new unit to ensure sufficient copies by the date needed.
Science Activities/Yearbook Picture Coordinators
Our science program is enhanced with hands-on learning through experiments, demonstrations, projects, field trips, videos, etc. Our science activities coordinators will work closely with the science teacher to determine how they may help with these areas most effectively. This could include gathering and/or shopping for supplies and helping with experiments. In addition, the coordinator will take pictures to be included in the yearbook. We encourage the science coordinator to periodically submit science updates to the Newsletter Coordinator in order to keep parents informed of science activities. He/she may also arrange for special speakers, work with the field trip coordinator to provide off-site learning opportunities, schedule relevant videos (see C.E.A. office for list of science videos), etc. Note that the teacher may ask that certain activities be scheduled for after school hours. Should a VCR or use of another room be needed, the coordinator must work with the office to meet these needs. See the office for a list of C.E.A.-owned science materials.
Social Activities/Yearbook Picture Coordinator
Each class will enjoy getting to know each other and developing friendships outside the classroom. Two socials per semester should be planned at the beginning of each semester. Social coordinators will also assist with supervision and serving food at the all-school skating parties held for Christmas and Valentine’s Day. He/she is responsible to be sure pictures are taken at various socials and submitted to the Yearbook Committee. The 9th - 11th grade coordinators will also organize the year-end class service project. Prior approval for socials and year-end service projects is to be obtained from the office, and information provided to the Newsletter Coordinator by the monthly deadline. Social coordinators will arrange for needed drivers should an event be off-campus. Use of a room at C.E.A. should be cleared through the C.E.A. office. The coordinator is responsible for seeing that any area used is left clean and orderly.
Teacher Aides
These volunteers perform a variety of tasks at the request of the teacher as well as serve on the Teacher Aide Committee. This committee will set up for the Parent Orientation Meeting in August and be responsible for the Year-End Program in May. Aides may be asked to grade tests, prepare charts, laminate materials, and/or set up the display table for the spring Talent Share. By freeing some of the teacher’s time, aides play an important part in making C.E.A. an excellent support system for home school families. An e-mail list should be organized by each teacher aide. If calls are made relating to classes being canceled, the teacher aide for that class will call families living the farthest from C.E.A. first, and then work down the list.
The 7th-12th grade teacher aide will also serve as the T.A. Chairman. For the August Orientation Meeting, the Chairman will organize the T.A. committee to assist the Office Staff with set-up in the sanctuary and gym. In early April, the Chairman will organize a meeting with this committee to plan the annual Year-End Program. (On the last day of the school each year, parents and other guests join us for an all-school program to honor students for their achievements and character development over the past year. We also recognize our teachers and express appreciation for their hard work.) This committee is also responsible for set-up/clean-up for the Year-End Program.
Teacher Aides also work with teachers to make sure tasks on the Year-End Check-List are completed (grade cards copied for files, curriculum lists filed, desks cleaned, supplies inventoried, C.E.A books checked in, etc.) Teacher Aides may enlist the help of other parents from the class to help as needed.
ALL-SCHOOL VOLUNTEER POSITIONS
Fundraising Committee
These individuals are responsible for coordinating one or two fund-raising projects per school year. The committee researches and then recommends projects to the Board for approval prior to beginning work on the project. The committee will provide informational flyers and then coordinate the printing and distribution of them through the classroom teachers. Committee members are responsible for parent communication, collection of monies, distribution of items if necessary, and the maintaining of necessary financial records.
Senior Graduation Committee
These parents of seniors work together beginning in September to plan and organize the senior graduation the following May. This includes reserving a location, coordinating senior pictures, ordering graduation announcements, diplomas, caps and gowns, planning a senior night and graduation party, working with students on their senior speeches and slide shows, designing and printing graduation programs, planning the graduation ceremony and reception, etc.
Graduation Reception Committee
All parents of the junior class work together with their students to organize food and decorations for the senior graduation. These families serve during the reception and work together to clean up afterward. This allows parents of seniors to visit with their guests during the graduation reception.
Hospitality Committee
This committee will divide into teams to organize receptions for Parent Orientation Night, Moms’ Socials, Parent Education Meetings, Spring Talent Share, and other CEA events, as well as monthly Teachers’ Luncheons. A minimum of two Moms’ socials are to be planned with the first one preferably in September so that new mom’s are welcomed, and the second, after school is out in May. Smaller meetings would necessitate baking homemade cookies or desserts, while larger events would entail setting out food brought by others. Teacher’s luncheons involve the planning and preparation of a lunch menu. Members will take responsibility for setting up the facilities, decorating if needed, serving, cleaning up, and returning the facility to its original setup. Information regarding the budget for these functions will be provided through the office, and must be obtained by the coordinator prior to requesting reimbursement for expenses relating to paper goods, decorations, etc.
Lunchroom Coordinator
This volunteer is responsible for the lunchroom from 11:50 a.m. -12:50 p.m. They will set out supplies and ensure the lunchroom is ready for students. During lunchtime they will monitor students, oversee clean-up, and make sure the lunchroom is in proper condition for Study Hall. (Checklist provided.)
Lunchtime Playground/Gym Coordinator (12:00 p.m.-12:45 p.m.)
These volunteers will assist the Lunchroom Coordinator as needed and then will be responsible for overseeing students during playground or gym time (dependent on the weather).
Study Hall Coordinator
This volunteer will monitor students during Study Hall each Monday, Wednesday, and Friday from 12:45 - 1:45 pm. This includes providing a quiet environment for study and answering students’ questions. At the end of Study Hall, the coordinator will ensure students have cleaned the area and will also assist with student pick-up.
Newsletter Coordinator
This volunteer will collect information from committee chairs and the C.E.A. office pertaining to various school activities. They will compile this information into a monthly newsletter, make copies, and deliver them to the office for distribution.
Facilities Maintenance
These men will be available to repair and possibly enhance our school facilities as needed throughout the year. In addition, they will work together to oversee the Men’s Work Nights in the summer. Any expense over $50.00 should be approved prior to the expenditure.
Event Committee
Members of this committee are responsible to assist the Yearbook Chairman with Picture Day during September or October. The committee coordinates use of the facility for this occasion, disseminates photo flyers, helps set up the room as needed, verifies photos taken, and distributes photos when received.
Members of this committee also organize the January Spelling Bee and spring Talent Share. For the Spelling Bee, this committee will utilize information from the local sponsor and coordinate the date of the bee, hand out information to teachers and participants, purchase needed trophies and ribbons, and set up/take down the sanctuary. Planning should begin in November in order to provide needed materials in a timely manner. Committee members will also provide an emcee, a person to pronounce the words, and two or three judges for the bee.
For the Talent Share, usually held in April, these individuals work together to plan and present a talent night. Students, siblings, parents, and teachers are all encouraged to participate and share a talent (singing, recitation, musical performance, skit, art work, etc.) with their relatives and guests. Each entry is to be submitted in writing for approval by the committee by the given deadline. Selections need not be specifically Christian, but must be consistent with a Christian witness and in good taste. Any “questionable” items must be cleared through the C.E.A. Board. All submissions will be reviewed by the committee prior to Talent Share night. The committee will also generate a printed program listing all those participating and their selections.
Talent Share Night is also the time when each class is to set up a display table for projects, reports, etc., that they have worked on during the year. (The Teacher Aide for each class is responsible for setting up the display table as directed by the teacher.) Snacks provided by the parents are served afterwards. This committee will work with the Hospitality Committee so that the facility will be left clean and in order following the evening’s activities.
E-Mail Correspondent
This individual maintains a data-bank of e-mail addresses for all C.E.A. parents, teachers, and high school students. This information is utilized to disseminate C.E.A. information deemed appropriate for e-mail distribution. Information may be sent directly to the e-mail correspondent for consideration. This individual will review the information and determine if additional details are needed. Upon receiving a “final version,” the correspondent will forward the information to a Board member for approval, prior to distribution to all C.E.A. families or to a specific circulation list. Parents are responsible for informing the E-mail Correspondent of any e-mail address changes.
Key Club Coaches
These individuals work with the Key Club Advisor to provide adult support for Key Club student leaders. Coaches attend meetings and activities as needed, and provide valuable adult advice to student leaders as they develop leadership skills and perform service projects throughout the year. Assisting with transportation needs for an occasional out-of-town activity may be requested. Coaches will also assist the Key Club Advisor with the Key Club Retreat in the fall.
Key Club Sponsors
Sponsors will support one project per month by attending a project planning meeting, encouraging and overseeing the Student Sponsor for that particular project, and attending the corresponding service project or activity as the Adult Sponsor.
Curriculum and Literature Committee
This committee will be available to review and write evaluations for various reading literature and curriculum as requested by teachers and the C.E.A. Board. Members will be encouraged to research curriculum that might fit well into our current program. All recommendations will be reviewed by the C.E.A. Board for possible approval.
Yearbook and School Pictures Coordinators
These coordinators work with the Student Yearbook Committee to produce a C.E.A. Yearbook each spring. These coordinators are responsible to collect suitable class photographs from field trips, socials, and other class events for inclusion in the yearbook. In addition, these individuals work with the Events Committee to assist with Picture Day during September or October. This involves reserving the school facility for school pictures, disseminating photo flyers, helping to set up the room as needed, verifying photos taken, and distributing photos when received.
Prayer Team
These volunteers will lead a prayer time each week to give our parents an opportunity to gather together to pray for our students, teachers, staff, and families.
Girls’ Club
This club is for elementary girls and meets once a month from noon to 1:45. This group utilizes material to help our young girls to actively and intentionally seek to trust God and apply Biblical principles to their lives. The club focuses on character qualities and learning to get along with others. These volunteers will plan monthly meetings, which include lunch, a teaching time, a craft, etc. and are responsible for room set-up as well as clean-up. Coordinators are encouraged to ask at least one mom of a participating young lady, to volunteer to assist each month.
Dads’ Group
This volunteer will plan activities to develop relationships among our dads with a vision toward encouraging and challenging each other as husbands, fathers and family leaders.
Little Light House Coordinator (8th Grade)
This volunteer will schedule volunteer days with the Little Lighthouse for our 8th grade students once a month. This person will be responsible for communicating information about this service project to the Newsletter Coordinator, serve as the contact person for parents as well as The Little Light House, help students check in and out at the TLLH, and coordinate transportation if lunch is planned.
TeenPact Coordinator (9th Grade)
This parent will be responsible to communicate with 9th grade parents about TeenPact in the fall, organize necessary fundraisers, help with TeenPact early registration, coordinate TeenPact homework with Mrs. Bennett, and organize adult sponsors and drivers for the April week-long event.
Parenting Class Leaders
These couples will lead a Parenting Class for current and incoming C.E.A. parents, usually during the summer and fall months.
